FAQs on PALS 88 - 2010 meeting - Venue: Cochin - August 7th 2010

  • When exactly is the meeting? Is it for the 7th of August evening alone or for two days? The Pals'88-2010 meet is planned to be conducted as a one day get-together on the 7th of August 2010. The registration is proposed to start by 2 p.m. and the program ending with a grand gala dinner could extend up-to 11 p.m.
For those who wish to extend their stay and enjoy their visit to Kochi along with a few of their 'Pals' a trip to Veegaland (http://www.veegaland.com/) is planned for the 8th morning, starting at 9 am from the IMA hall. This any way is not to be treated as a part of our get together and is an optional event.
  • Where exactly is the meeting to be held ? I have not heard about IMA Hall. How do I get there?
The meeting is arranged at a newly commissioned IMA (Indian Medical Association) Convention Centre, behind Jawaharlal Nehru International Stadium, Kaloor. One needs to enter the stadium at Kaloor, though the main gate from the Edapally - Kaloor Road, go round the stadium halfway leading to a road behind the stadium and go another 500 meters to reach the hall. (An illustrative road map is shown at the end of this document).

The Convention centre, one of the latest in Kochi, is of International standards, sporting some of the latest facilities, which include: three convention halls, an air-conditioned auditorium (seating capacity 1000) state-of-the-art digital screens, video, audio and lighting systems, parking space for approx. 100 cars, attached accommodation facilities, etc. They can be used for both formal and informal gatherings; it is up-to all of us now to decide how to tap the benefits of these facilities while at the same time ensuring the get-together is conducted with the customary pals'88 flavour.
  • How can I register myself for the event?
Registration is quite simple; you can do any of the following: Send an email to pals88@googlegroups.com with subject 'Registration Request' provide your full name, no of participants and age of children if applicable. Please specify if you need accommodation or not.

Alternatively you can send an email addressed to either Jayasheelan ma_jayasheelan@yahoo.co.in or Narayanan at knaranin@yahoo.co.in or both, who are the coordinators for registrations and accommodation respectively. You can reach them over phone:

    Narayanan +91 93873 13154

    Jayaseelan +91 94477 96280
  • How much is the registration fees? What does it include?
The registration fee is Rs 2000/- per member and as has been the norms for the previous meetings the amount will be the same irrespective of whether one is attending with family or not.

This is meant to cover the cost of the entire program which includes paid entertainment, the evening tea and short eats, beverages for ladies and children and buffet dinner. Cocktails, for those who avail of the same, will be charged extra, on coupon basis. All other costs like accommodation local travel will be to individual's account.

A fee of RS (500) per head will have to be paid for bringing additional guests (i.e. anybody other than spouse and children).
  • How can I send the money towards my registration?
We have opened a bank account (SB) specifically for this purpose and the money can be transferred to this account. The details are as given below:

SB A/c No 12861000002579. Joint A/c in the names of: Pramod S/ Anilkumar KV. Bank: HDFC , Branch: Edapally IFSC No: HDFC0001286

You may send an email to Anilkumar KV anilankv@gmail.com or call him on + 91 94470 06466 intimating the money transfer details and credit will be acknowledged by him after realization.
  • What are the tariffs for accommodation? Do I need to send the money in advance for it?
Currently we have blocked 65 double occupancy rooms 2 adults and 2 children per room (Children above 12 years will be charged extra @ Rs 500 per extra bed) at the IMA Venue. The negotiated tariff for room with breakfast is Rs 2500/- including tax. You need not send money in advance for this as you are supposed to settle your bills directly while checking out.
  • I have decided to attend the meeting. But I haven’t made up my mind on where to stay or even manage a room for myself. What are the advantages if I choose to stay at the IMA venue?
We were together in our hostels. Nothing like being together once again (which is a rare opportunity) for the stay as well, before and after the meeting instead of driving or taking a taxi to any other hotel. It would be convenient for the families too. The rooms at IMA Hall are all fairly well appointed deluxe air-conditioned studio apartments with, LCD TV and...other facilities like Swimming Pool, Gym etc... .

There will not be any differentiation in the category of rooms and they all come at the same price which is quiet attractive considering the convenience and facilities offered. A family of say 4 members (2 adults and 2 children-below 12 yrs) can be comfortably accommodated.

However it is not the intention of the committee to sell rooms and the choice of staying at the IMA venue or not is left to each individual member.
  • I heard the committee is arranging rooms that are more economical. What will be the tariffs then and what are the options available?
The accommodation committee trying to identify hotels, in close proximity to the venue, that offer rooms in the range of Rs 1000 to 1600 per room per night. They are still working on this and more details will be published through our group mail soon. Unless a minimum number of rooms are booked at each location, transportation to and from the hotel to the program venue will have to be separately managed.

  • What will be program mix for the evening?
We are gearing up to organize the programs in such a way that they are interesting not only to the members but their spouses and growing up children. We may have quite a few surprises in store for the evening! What is more many a member now stands a good chance of redeeming much more than what they spend for attending the get-together. What more can you ask? Getting paid to meet your bosom pals!!

  • My son/daughter is interested in performing during the program. Is any slot available and whom shall I contact for confirming this? We will be coming with the costumes and other required accompaniments, but can we source anything through the local program committee if required?
Please contact Parameswaran (Mech) who is the program coordinator at nvparameswaran@yahoo.com or phone + 91 94465 53336 as soon as possible. The program committee will do their level best to source your requirements against prior intimation at-least 2 weeks before the event. Please hurry with the slot confirmation first.

  • How is the fellowship being planned for the evening?
We are planning to arrange a bar counter in a demarcated area, to a side of the auditorium where the function is to be held. The bar will be operated through a coupon system where each interested member will have to pay for their drinks by purchasing coupons of a certain denomination. For more details please feel free to contact the F&B committee members

    Gopakumar G g_gopakumar@hotmail.com / +91 98957 09568

    Sudhir Varma nasvarma@yahoo.com / +91 93812 05568

  • What time do I need to check out the next day? Can I stay back for another day, if I chose to do so?
The checkout will be 12 noon the next day.

However if you prefer to stay back for one more day please alert Narayanan at the earliest. Last minute extensions obviously will be subject to availability of rooms as we are arranging booking for a day only unless specifically intimated in advance.

  • What time will be starting time for the Veegaland tour? What time will we be coming back? Whom shall I contact for more details ?
The facility at Veegaland starts at 10.30 am in the morning; it normally takes approx 5-6 hours to cover the entire water theme park. It is proposed that the trip will start at 9 am from the IMA venue. Group conveyance (shared cost) will be arranged by the committee for travel to and from Veegaland and will be based on the number of requests. The return trip will be by 5 pm. The ticket charge of Rs 500/- per has to be borne by each member.

The tour committee is headed by Udayan. He can be contacted vide email: udayanthavanur@gmail.com or vide phone: +91 94476 56695. Expect more details and updates on the trip from him soon.

  • I saw from the committee's earlier mail that you are seeking sponsorships. Am interested to know more and contribute accordingly. How do I go about this?

We take this as a reflection of your commitment and generosity. Sponsorships can be from both individuals as well as Corporate.

Corporate: Sponsorships are invited from corporations/companies that may be interested in showcasing their products or services among the elite crowd gathered or may be driven by individual member's relationships with the corporate body. The time allotted (if necessary) for one or a maximum of two corporate sponsors should not exceed 30 minutes in total as we have a tight half day schedule. Corporate sponsors can either conduct a presentation (audio-visual media support will be provided at the venue) conduct a speech or/and showcase their products and services by putting up kiosks/banners at designated spaces. Their brand logo can be exhibited at various repeated intervals on the stage backdrop (digital) and on the two side screens provided in the hall. They can also sponsor events-within- the-event like a price for the best singer, a trip to a holiday resort for a family that wins a contest etc.

Individual: Individual sponsorships in the form of contributions (in addition to your registration fees) are purely voluntary and are encouraged in any denomination. The names of individual sponsors regardless of the quantum of contribution would not be declared or published in public as we would like to maintain a feeling of unanimity (which should be our hallmark) throughout the function. Most among us are employed professionals, few free lancers, while a few others have taken to entrepreneurship, all successful in our own ways. Nevertheless it is up-to each one of us to decide how or whether we would like to leave a mark of our success in sharing the additional expenses in making sure our families, or rather this one large family has a nice time during the meet. We are bound to incur expenses which would exceed the revenue accumulated through registration fees alone, and we intend to share this cost among as many as possible. The contributions from both corporate as well as Individual would be used to raise funds for the additional expenses incurred in inviting good speakers, arranging an orchestra, or other facilities, as will be decided by the program committee, from as many of us as possible rather than burdening a few. The contributions would be properly accounted for and the details post the program shared among one and all. In the event that the amount so collected exceeds the total expenses incurred the balance can be used to returned to the individual sponsors on a prorate basis (i.e. based on the amount originally contributed). Thus in effect the individual contributions act as a financial safety net for conducting the function. Please therefore communicate your intention to contribute or arrange sponsorship in the next few days (before 10.7.2010 if possible) as the quality and the content of the programs can be enhanced depending on this.

Please contact Pramod and/or Anil for more details...
